Step-by-step guide to logging into and setting up your KNUST Outlook email.
Your KNUST Outlook email is your official university identity. It is used for class announcements, Zoom coordination, library access, GitHub Student Pack verification, and every formal communication from the university. Because it shares one login with the student portal and TDMS, setting it up correctly once unlocks your entire digital life at KNUST.
This lesson is organized into 3 tiers so you only pay for the depth you need:
Logging in takes under two minutes once you know the exact address format. Follow these four steps in order:
Open a browser and navigate to https://outlook.office.com/, or open the Outlook app on your phone. Bookmark the web link — you will use it every day.
https://outlook.office.com/Your email address depends on your programme type. Check the exact format below — using the wrong domain is the #1 login failure:
| Student Type | Email Domain | Example |
|---|---|---|
| Regular students | @st.knust.edu.gh | kwame.asante@st.knust.edu.gh |
| Distance learning | @idl.knust.edu.gh | kwame.asante@idl.knust.edu.gh |
| Staff | @knust.edu.gh | k.asante@knust.edu.gh |
Use your KNUST password — the same one you use for the student portal and TDMS. If you changed it on the portal recently, use the new password here. Outlook is case-sensitive, so check your Caps Lock.
Click the blue "Sign in" button. If you see a Multi-Factor Authentication (MFA) prompt, complete it using the method you registered (usually a phone number or the Microsoft Authenticator app).
Locked out? Reset your password through the student portal — this is the only official self-service reset route:
https://apps.knust.edu.gh/students/Account/ForgotPasswordWhen you sign up for services like the GitHub Student Pack, verification emails land in your KNUST inbox. If a service says "we emailed you" but you can't find it:
noreply@github.com, using the search bar at the top of OutlookThe very first time you sign in, Outlook may walk you through a welcome wizard. Don't skip it — set the basics once so everything works later:
After login you see the classic Outlook layout. Knowing where things live saves minutes every day:
| Area | Location | What It Does |
|---|---|---|
| Inbox | Left sidebar | Your main mail folder |
| New mail button | Top-left (pencil icon) | Compose a new message |
| Calendar | Left sidebar | Schedule classes, meetings and deadlines |
| People | Left sidebar | Contact list and groups |
| Search bar | Top centre | Search all mail by sender, subject or word |
| Gear icon | Top-right | All settings (rules, signatures, replies) |
A hijacked KNUST email is used to scam classmates and lecturers — take these five minutes of prevention seriously:
The complete core walkthrough: the 4-step login, the exact email-address formats for every student type, password reset, and how to find verification emails.
KNUST now requires Multi-Factor Authentication for Outlook. Without it, you may be blocked from signing in on new devices.
Set up your email on your phone so you never miss a deadline:
kwame.asante@st.knust.edu.gh)Turn it on: Settings (gear icon) > Mail > Focused Inbox. Important mail goes to "Focused", newsletters to "Other".
Create folders for Lectures, Guild / Societies, Library, and Verifications. Then make rules that sort mail automatically:
Rule example: Emails FROM courses.knust.edu.gh
→ Move to folder "Lectures"
→ Mark as read if subject contains "no reply"| Setting | Where | Recommended |
|---|---|---|
| Focused Inbox | Settings → Mail → Focused Inbox | On |
| Automatic replies | Settings → Automatic replies | On during exams |
| Email signature | Settings → Compose and reply | Set your student signature |
| Block senders | Settings → Mail → Block or allow | Block spam senders |
Rules are conditional actions Outlook runs automatically. Build them under Settings > Mail > Rules. Three high-value rules for a KNUST student:
Rule A — Course announcements:
If: sender contains "courses.knust.edu.gh"
Then: move to "Lectures", mark as read if subject has "no reply"
Rule B — Verification mail:
If: sender is noreply@github.com OR noreply@linkedin.com
Then: move to "Verifications", flag for follow up
Rule C — Personal noise:
If: subject contains "unsubscribe" OR "newsletter"
Then: move to "Other", skip inboxYour KNUST Outlook calendar is where class schedules, Zoom invites and department meetings land:
KNUST student mailboxes have a storage limit. When you approach it, Outlook shows a warning banner. To stay safe:
from:lecturer@knust.edu.gh and hasattachment:yes — these make finding an old message a 5-second job.@st., distance students use @idl.. Never the two mixed up..edu.gh addresses; use a personal email for those sign-ups.Everything in Basic + MFA setup, Outlook on mobile and desktop, inbox organization with rules, a settings table, and every common mistake solved.
